Registrar's Office

The Registrar’s Office is composed of the Registrar, The Assistant Registrar and Administrative Assistants. The Registrar organizes and directs clerical operations, within their area of specialization (i.e. Graduation and Transcripts, Enrollment Reporting, Petitions and Appeals), provides critical support to students, faculty, staff, and third-party agencies and address questions or concerns with a solution-based approach.

Procedures For the Collection of Documents

Procedure For The completion of Complete Transcript and Attestation.

  • A form for clearance will be given to the student to ensure financial clearance as well as academic clearance.
  • To pick up a transcript, you must show a valid identification card. In case someone else is to collect any document on the student’s behalf, a formal letter has to be written to the Office of the Registrar. This letter will need to carry the individual’s name, ID card number as well as a scanned copy of the person’s ID card. The letter needs to be on word document (attached in the mail).

Procedures For the collection of Uncompleted Transcripts And Attestation of Attendance

You may request a copy of your ICT University transcript or attestation of attendance (includes all graduate and undergraduate courses) in one of the following ways.

  • You may mail your request to the Registrar's Office. However, the request must be a formal letter attached in a word document.
  • In person requests must be made by the student whose record is being requested.Moreover, the request needs to be a formal letter which is typed and printed out.
  • Every request must be accompanied by financial clearance of the student’s status

Notes:  

  • Processing time is between 2 to 5 working days. However, due to the volume of requests during the end and beginning of the semester, processing time may be longer. 
  • Every student is permitted to request for his/her transcript and attestation of attendance once every semester. For any additional request during the course of the semester, a fee may be levied. Deadlines and periods for request will be announced. 
  • To pick up a transcript or attestation of attendance, you must show a valid identification card.

Procedure For The Collection Of Certificate

  • Complete both financial clearance and academic clearance forms To pick up a certificate, you must show a valid identification card.
  • In case someone else is to collect any document on the student’s behalf, a formal letter has to be written to the Office of the Registrar. This letter will need to carry the student’s name, major, semester of enrollment, reason for absence to collect in person, individual’s name, ID card number as well as a scanned copy of the person’s ID card. The letter needs to be on word document (attached in the mail).

Procedures for the request of equivalence

Equivalence is done at two levels. By the Ministry of Higher Education and by International Agencies. Some of the links student might follow for international evaluation is as thus:

Procedures for the request of authentication

This request is made only when a student has completed his/her studies. The student is expected to pay the authentication fee depending on the destination of the document (national or international levels). A photocopy of the said documents is needed as well. It takes a maximum of 48hrs for the document to be available.
